Terms & Conditions

In these Terms, “WGA” refers to Wild Galicia Adventures, a registered autónoma travel provider in Spain offering ground-based experiences, accommodation coordination, and curated adventure holidays. The term “the traveller” refers to you, the individual booking the trip, or any person named in the booking or to whom a booking is transferred.

1. THE CONTRACT

A contract is formed when WGA receives a completed Booking Form along with a deposit or full payment, and sends written confirmation of acceptance.

The contract includes the Booking Form, written confirmation, WGA’s itinerary, website or published materials related to the trip.

WGA reserves the right to terminate the contract if the behaviour of the traveller (or any individual in the booking) endangers the safety, comfort, or enjoyment of others. The traveller is liable for any resulting:

  • Delays or disruptions to transportation;
  • Damage to accommodations;
  • Claims made against WGA due to those actions.

2. FITNESS TO PARTICIPATE

The traveller is responsible for assessing their own fitness to complete the trip. Route details such as distance and elevation are provided in good faith. If the traveller is unable to complete the agreed route, they are responsible for any alternate arrangements and additional costs.

It is the traveller’s responsibility to disclose any physical or mental conditions that could affect participation. WGA reserves the right to decline participation where a trip would not be suitable.

3. PAYMENT AND CANCELLATION POLICY

Deposits:

  • Individual bookings: €500 per person (non-refundable).
  • Group bookings: €4,000 per group, managed by a group leader. The leader is responsible for collecting and submitting payment. This deposit covers planning services and securing accommodations and contractors.

Full Payment:
The balance must be paid no later than 60 days before the trip start date. WGA reserves the right to cancel the trip if payment is not received.

Cancellation by the Traveller or Group:

  • More than 60 days before departure: Deposit forfeited.
  • 31–60 days before departure: 50% of trip cost forfeited.
  • 0–30 days before departure: 100% of trip cost forfeited.

If a shared room is booked and one person cancels, the remaining traveller will be charged a single room supplement if applicable. For group bookings, the group leader is responsible for any balance owed due to individual cancellations.

4. SUBSTITUTIONS (TRANSFERS)

A traveller may transfer their booking to another eligible person by providing written notice at least 21 days before the departure date. The transferee must sign the Booking Form and agree to all terms.

The original traveller and transferee are jointly liable for all outstanding payments and any supplier fees related to the transfer.

5. PARTICIPATION TERMS

The traveller agrees to follow the instructions of WGA guides, staff, or partners throughout the trip. If a traveller’s behaviour, fitness, or health compromises the trip or other participants, WGA may exclude them from part or all of the trip without refund.

In the event of illness or emergency, WGA may make necessary arrangements, and the traveller agrees to cover the related costs.

Illegal activity will result in removal from the trip without refund. If a medical or personal condition could affect participation, it must be disclosed during booking. No refunds are provided for unused services due to undisclosed issues.

6. SUPPORT VEHICLE & BAGGAGE ASSISTANCE

WGA promotes sustainable, minimalist travel. Travellers are encouraged to carry only what they need. Luggage transfers are not automatically included.

Upon request, WGA can coordinate a support vehicle (operated by an independent autónomo) for:

  • Luggage transport when a traveller is injured or unable to carry their pack;
  • Transfer of travellers in cases of injury or fatigue;
  • Basic support such as non-alcoholic drinks and snacks.

This is not a full-service luggage transfer or shuttle. It is available by prior arrangement and for specific situations. WGA is not liable for:

  • Damage to baggage (e.g., zippers, wheels, or water exposure);
  • Delays, loss, or lack of collection.

Travellers are encouraged to purchase travel insurance that covers baggage and personal property.

7. PRIVATE TRANSFERS

Travellers must be at the agreed meeting point at the designated time. No refund will be issued if the traveller fails to arrive within:

  • 15 minutes (standard meeting points); or
  • 30 minutes (airports).

Late arrivals may result in additional costs if rescheduling is necessary.

8. ALTERATIONS BY WGA

WGA reserves the right to change, curtail, or cancel a trip when necessary.

In cases of force majeure, WGA is not liable for losses caused by trip changes or cancellation. Force majeure includes: extreme weather, war, strikes, epidemics, natural disasters, transport failure, or other unforeseeable and uncontrollable events.

Trips may have a minimum group size. If not met, WGA may cancel the trip up to 4 weeks before departure. Travellers will receive a full refund but no further compensation.

If major changes are made (e.g., over 18 hours of travel delay, change of destination or accommodation type), travellers will be offered:

  • A comparable alternative trip;
  • A lower-priced option with a partial refund; or
  • A full refund.

Compensation for significant changes (except in force majeure) is:

  • Within 8 weeks: €13
  • Within 6 weeks: €19
  • Within 4 weeks: €25
  • Within 2 weeks: €38

9. INSURANCE

All travellers must carry personal travel insurance that includes:

  • Trip cancellation;
  • Medical emergencies and evacuation;
  • Luggage loss or damage;
  • Personal and third-party liability.

WGA is not liable for losses that should be covered by insurance.

10. PRICE VARIATION

All prices are listed in Euros (€). WGA may adjust prices in response to:

  • Currency fluctuations;
  • Changes in supplier rates;
  • Government taxes or levies.

Prices will not change after final payment unless due to legal obligation.

11. COMPLAINTS

Complaints must be reported immediately to WGA’s representative on-site. If required, travellers may be asked to complete a written complaint form.

Any unresolved issue must be submitted in writing within 28 days of the trip’s end to:

12. LIABILITY

WGA is not liable for non-performance or improper performance when:

  • The issue is caused by the traveller;
  • The issue is due to a third party not contracted by WGA;
  • The issue results from force majeure.

In all cases excluding death, personal injury, or gross negligence, liability is limited to twice the total trip cost per traveller.

In some destinations, accommodations and services may differ from the traveller’s expectations based on their home country. Terms like “standard” or “reasonable” must be understood in local context.

13. GOVERNING LAW & JURISDICTION

These Terms and Conditions are governed by Spanish law. Any disputes will be handled by the courts in Spain.

14. TRAVELLER RESPONSIBILITIES

  • Review and check all travel documents upon receipt.
  • Arrive at designated trip points on time. Missed departures will not be refunded.
  • Comply with all baggage limits and avoid bringing prohibited or oversized items.
  • Follow all instructions from WGA staff and partners. Travellers are liable for any harm caused by failure to follow directions.
  • Ensure eligibility to enter the destination country. WGA is not liable for denied entry or deportation.
  • Participation in all activities is at the traveller’s own risk. Travellers agree not to hold WGA liable for injury, death, or loss resulting from trip participation or third-party services.
